What's new

New in Flowbit 2.0

The features added since the first release, each in a few lines. The chapters for each product still describe the pages around them.

Quick add in plain words

Open: Tasks, boards, calendars, project and space Tasks tabs, Home → Assign to meWho: everyone who can add tasks

Type a task the way you would say it, in English or Hinglish, and Flowbit reads the date, time, person, project and priority as you type. What it understood shows as chips under the box; click the X on a chip to keep that word as plain text.

  • Dates: aaj or today, kal or tomorrow, parso, a weekday (Monday or somvar), next mon or agle hafte, 15 oct, in 3 days or 3 din mein.
  • Times: 5pm, 17:30, 5 baje, subah, shaam, raat, for example "kal shaam 6 baje".
  • Tokens: @name assigns a person, #project (or a list or space), !client, and p1 to p4, !! (high) or !!! (urgent) for priority.

Example: "kal 5 baje @vikram #design homepage banner p2" makes a task for Vikram in the Design project, due tomorrow at 5 pm, high priority.

Task side panel

Clicking a task in a list, board, calendar, Home or the bell opens it in a panel on the right, so you keep your place in the list. A refresh or a shared link still opens the full task page.

  • Keys: J and K move to the next or previous task, E edits the title, M assigns it to you, ? lists the shortcuts and Esc closes the panel.
  • Blocked by and Related links between tasks. A task waiting on another shows an orange flag; the blocker shows red until it is done.
  • Comments, subtasks, checklists and attachments work as on the full page. Comments post at once and show "Sending…" until saved.

Team member cards

A team's Members tab shows cards or a list. Each card shows today's status (checked in, on break, on leave or offline), this week's workload, open and late tasks and the projects the person is on. A person on approved leave gets an amber dot on their avatar, and assigning them work for a leave day shows a warning.

Break types

Set up: HR settings → Attendance rulesWho: HR admin

Take break now asks for a type: Lunch, Power Nap, Tea/Coffee or Personal/Rest. HR sets whether each type is paid and its daily limit. Payable hours are the hours worked plus paid breaks up to their limits. The daily sheet and the register show effective and payable hours side by side.

Location at check-in

Set up: HR settings → Attendance rules → Location at check-inWho: HR admin

HR can ask for the browser's location when people check in or out on the web: off, optional or required. Add office areas with a radius; a check-in outside every area is flagged (or blocked, if you choose). People see a notice and agree before their location is read the first time. The daily attendance view shows where each check-in happened, with a map link.

Posts: ten types, polls and scheduling

Open: Work → PostsWho: everyone; announcements and policies by moderators

  • Types: Announcement, Update, Kudos, Celebration, Policy, Question, Poll, Win, Welcome and Event.
  • Policy posts get an I've read this button; the author sees who has acknowledged and can remind the rest.
  • Kudos tags people and also tells their managers. Polls have 2 to 8 options and can close on a date.
  • Pick an audience (everyone, roles, teams, departments or locations) and, if you like, a time to publish.
  • Birthdays, work anniversaries and welcomes can post by themselves; switch them off in Settings → Automations.
  • Add up to 4 images or GIFs to a post, reply or task comment, each up to 4 MB.

Sample data and Get started

New workspaces can click Load sample agency to see Flowbit with clients, projects, tasks, leads, invoices and employees already in it. Remove sample data deletes only those sample records, never your own. Owners and admins also see a Get started card on Home (invite 2 people, create a project, add a task, check in, draft an invoice) and a short tour the first time they open each product. Replay a tour from the account menu.

Google Calendar and Meet

Open: Settings → Google (You group)/app/settings/integrations/googleWho: everyone, each for their own account

Connect your own Google Calendar and the meetings you schedule in Work go on it, with a Google Meet link added for you. Moving or cancelling the meeting in Flowbit moves or cancels it in Google. Your own upcoming Google events also show, greyed and read-only, on the Meetings calendar so you can see when you are free.

  1. Open Settings → Google and click Connect Google Calendar.
  2. Choose your Google account and allow access to calendar events.
  3. Schedule a meeting without a link of its own. Its page now shows the Meet link and "On the organiser's calendar".

Flowbit asks only for calendar events, never your email or contacts. Click Disconnect at any time to withdraw access. Attendees still get Flowbit's own invite email with a calendar file.

Orbit follow-up sequences

Open: Orbit → Sequences/app/orbit/sequencesWho: salespeople and managers

A sequence is up to five follow-up steps that run by themselves: send an email, create a call task, remind you, or wait a number of days. Emails go out in India time, Monday to Saturday, inside the hours you choose, and each salesperson has a daily limit (150 by default).

  1. Click New sequence, name it and add steps. In emails, use {{first_name}}, {{company}} and {{owner}}; add a fallback after a bar, as in {{first_name|there}}.
  2. In Leads, tick the leads and click Enroll in sequence, or use Enroll in sequence on a lead's page. You become the sender.
  3. When the lead replies, click Replied on the lead. The sequence stops and the lead moves to Engaged.

Every step is logged on the lead's activity, and the lead page shows the sequence's progress. A lead also leaves the sequence when its email bounces, it unsubscribes, or it is converted, lost or disqualified.

Connect Gmail in Settings → Google to send from your own address, so replies land in your inbox. Without it, emails go from Flowbit with replies set to come to you. Every email carries an unsubscribe link.

Clients dashboard

Open: Rail → Clients/app/clients

Clients opens on a dashboard: total, new in 30 days, active this month and overdue, with charts by health, new clients per month and top clients by revenue. Cards show each client's health (healthy, needs attention or at risk), hours this month against the retainer, margin over 90 days (for people who can see payroll and billing), the overdue amount and the last activity. Filter by health, new in 30 or 90 days, onboarding month or owner. A client's page has a Tasks tab with all its Work tasks.

Folio charts

Open: Folio → Reports → ChartsWho: finance and owners

Receivables aging by bucket (click a bucket to see its invoices and follow up), invoiced against collected for 12 months, the top 10 clients by revenue and by outstanding, and a GST summary by rate and month with CGST, SGST and IGST.

Tally export (beta)

Open: Folio → ExportWho: finance

Download your sales invoices, credit notes, receipts and expenses for a period as a TallyPrime XML file, so your CA no longer types them in. Map your Tally ledger names once on the same page. Test the first import in a copy of your Tally company.

Arc with real AI

Open: Rail → ArcUsage: Settings → Integrations → Arc (AI)

When your Flowbit server has an AI key, Arc drafts project outlines and task breakdowns and rewrites progress updates with Claude. Each plan has a number of AI requests a month (none on Free, 50 on a trial and 500 on paid plans by default). Past the limit, or without a key, Arc uses its built-in templates. Arc only drafts: nothing changes until someone clicks Apply, and salary, bank and PAN details are never sent to the AI.

Also new: security, Hindi, portal, bank and connectors

Added after 2.1, each with its own page in the manual:

Smaller changes

  • Project and client logos, and custom project colours.
  • PDFs (invoices, quotes, receipts, payslips and letters) use your brand colours and logo.
  • Import on the Clients page opens the contacts or Folio clients importer.
